Friendship Four Travel Reservation Terms & Conditions
Friendship Four Travel is operated and owned by Cara Group Travel.
Payment Terms:
Initial Deposit
In order to secure space on the trip and guarantee tickets to the game, a $500.00 deposit is required at the time of booking. This deposit is non-refundable and non-transferrable once paid.
Second Deposit
A second deposit of $500.00 is required on November 23rd, 2026. After this date, this deposit is non-refundable and non-transferrable.
Third Deposit
A second deposit of $500.00 is required on April 23rd, 2027. After this date, this deposit is non-refundable and non-transferrable.
Final Payment
Final payment for all portions on the package outlined above must be paid in full by August 24th, 2027. Failure to pay in full by this date may result in certain services not being available. Those who sign up past the final payment due date are required to pay the full trip amount at the time of booking.
Package Modifications
Travel Package
Changes made to the package selection (4, 6, 8, 10- Night) after the second deposit will incur a fee of $150 per person on the booking. Approval of package change is subject to availability at the time of the request. Client must pay per person change fee and difference in package price. No changes are allowed after final payment.
Sightseeing Add-Ons
Changes to package add-ons (optional sightseeing) must be finalized by third deposit: April 23rd, 2027. All sightseeing add-ons have limited space, therefore it is highly recommended to secure your add on at the time of booking, or as soon as possible. Approval of these requests is subject to availability at the time of the request.
Unused Package Elements
Refunds or exchanges cannot be issued for any accommodations, services, or experiences that are not utilized during your trip. Partial use of a travel package does not qualify for reimbursement. We encourage guests to contact their travel insurance provider to explore potential coverage for unused portions.
Experiences, Activities & Scheduling
We reserve the right to adjust scheduled visits, planned activities, or entertainment offerings in the event of venue closures, unforeseen circumstances, or to better accommodate the group’s needs. Changes may also occur if minimum participation requirements are not met or if venue capacity limits are exceeded.
Hotel Accommodations
All travel packages include standard “Run of House” hotel rooms, which are assigned by the hotel at check-in based on availability. Room types are not guaranteed and may vary. Requests for specific room types must be made in advance, are subject to availability, and may incur additional charges. Hotel amenities and features may change without prior notice. We may also adjust hotel assignments to meet group needs or room type requests.
Group Transportation
Transportation is included for all scheduled excursions and regional travel outlined in your itinerary. When applicable, transfers will be provided to and from the games and special pre-arranged events. Please note: shared group airport transfers are only included in the travel dates for the 6, 8 & 10 night travel packages. No transfers will be provided without flight information. Private transfers can be provided at additional cost.
Cancellation Policy
All cancellations must be submitted in writing to travelteamus@caragrouptravel.com . Package cancellation dates and fees apply to all applicable packages and sightseeing add-ons.
Land Cancellation
Initial deposit will be non-refundable once paid.
Second deposit will be non-refundable after the due date listed above.
Third deposit will be non-refundable after the due date listed above.
From 0-90 days prior to departure: 100% penalty.
Air Cancellation
After air ticket is issued, it is non-refundable.
Airfare
Airfare cannot be purchased until 11 months prior to travel.
Group Airfare
Groups are considered those passengers traveling on the same flights and dates roundtrip, under the same reservation number. Passengers wishing to deviate would not be considered part of the group and should contact us directly for their booking. Deviations are not permitted on group bookings.
Individual Airfare
Individual airfare is based on availability at the time of request. Airfare must be paid in full at the time of booking and is non-refundable. A valid copy of your passport is required to book airfare.
Land Only Participants
If you are a LAND only participant it is your responsibility to send a copy of your Air itinerary/Confirmation so that we can keep track of your arrival and departure on land and make sure you are where you need to be. If your flights deviate from the group’s flights, private transfers are subject to charge.
Travel Insurance
Travel Insurance is highly recommended. We offer individual Travel Guard Insurance policies at competitive rates. You can purchase travel insurance through the Cara Group Travel link provided: Travel Insurance | Cara Group Travel.
Travel Documents
Passports, Travel Requirements: Every guest is responsible for obtaining all necessary travel documentation and must be in possession of the appropriate travel documentation prior to departure and any necessary documentation required by the country to which you are traveling. If a guest is unable to obtain a passport, applicable visa, or other required documentation (e.g., proof of vaccination) the appropriate package cancellation policy will apply. Friendship Four Travel Documents
You can expect your final Friendship Four travel documents approximately three weeks prior to your departure date unless otherwise noted.
Mobility & Special Accommodations
Guests who require accommodations must advise Cara Group Travel at the time of booking. Reasonable accommodations will be fulfilled to the best of our ability. Cara Group Travel cannot provide individualized assistance for walking, getting on/off motor coaches or other physical needs. Most motorcoaches are not equipped with wheelchair ramps and require guests to mount three or four steps to board a motorcoach. A guest who requires a wheelchair accessible motorcoach to accommodate wheelchairs, walkers, or other assistive devices must notify Cara Group Travel in writing at the time their reservation is made. Cara Group Travel is not responsible for denial of services by carriers, hotels, restaurants, or other independent suppliers, nor any additional expenses incurred.
Unforeseen Events
If Cara Group Travel or any of its suppliers is unable to fulfill its obligations under this agreement due to circumstances beyond its control—including but not limited to strikes, labor disputes, accidents, acts of war, acts of God, fire, flood, or other emergency conditions—such non-performance shall be excused. In such cases, Cara Group Travel and/or its suppliers may terminate the agreement without further liability, provided that any deposits paid are returned.
Under no circumstances shall Cara Group Travel or its suppliers be liable for any consequential damages arising from such events.
Exchange Rate
All prices quoted are based on current exchange rates at the time of booking. Cara Group Travel reserves the right to adjust prices in the event of significant fluctuations in currency exchange rates, government-imposed taxes, or other cost increases beyond our control. If such changes result in an increase of more than 5% of the total trip cost, the customer will be notified and given the option to:
1. Accept the revised price;
2. Cancel the booking with a full refund of any payments made (excluding non-refundable deposits);
3. Substitute the booking with an alternative package of equivalent or less value.
Cara Group Travel will make reasonable efforts to minimize the impact of currency fluctuations, but cannot be held liable for any additional costs incurred due to such changes.
Upon booking and payment of the initial deposit, client agrees to all terms and conditions listed in this document.
